What happens today
The way it usually goes
- A paper SFBB diary or printed sheets in a folder, and sometimes a photo sent round on WhatsApp.
- Nobody can tell which ticks were made when the job was done.
What changes
What you can now do
- Each tick is made digitally when the job is done, with who and when.
- A failed item asks what you did and can ask for a photo.
- Where you switch sign-off on, a manager signs the run off.
- A check can be recorded with no signal. It is sent once the app is open and you are online.
What you can now sayHere is the day's checks, who did each one and when, and what we did about the ones that failed.
One shift, followed through
Riverside Kitchen, Monday. What the checklist does when something is wrong.
06:58 Priya opens up
Each temperature item shows the safe range the kitchen set for that appliance. A green face means inside the range; amber means exactly on a limit; red means outside it.
07:04 Item 19 fails
By default a failed item cannot be saved without a note and a photo. A corrective action opens for the site manager with the photo attached. Priya carries on.
07:31 Dami signs it off
This checklist is set to need sign-off, so the manager sees the run, the failed item and the open action, and signs digitally. If something is wrong she returns it for revision; the history stays on record.
What a checklist can hold
Built in the browser, run digitally.
Pass or fail items
With a note and photo required on a fail, and a corrective action raised, switchable per template.
Temperature items
Linked to an appliance with its own safe range, or carrying their own range. A breach is flagged in the run and in the log.
Schedules
Daily, weekly or chosen days, with a due time, scheduled per site.
Sign-off
Switch it on for the checklists that need a manager’s approval: those runs go to a manager and count as completed once signed off. On any other checklist a run counts as completed when it is submitted.
When the inspector asks
Thirty days of opening checks, in one export.
Pick the site and the date range and download the Checklist records pack: a dated, audited CSV with who did each run, who signed it off, and the notes and photo references on any failure. A single run also prints as a PDF from its own page.
Inspection-ready: records to have readyHow it works
3 steps
Build it once
Set up the checklist in the browser: pass or fail items, temperature items, and when it is due.
Run it digitally
Your team ticks each item when the job is done. A failed item takes a note and can ask for a photo.
Sign off where you need it
On a checklist you have set to need sign-off, a manager signs the run off digitally. Every run is kept with the time and the person.
What it saves
Time and money, honestly
We have not timed this yet, so no saving is claimed. In the savings calculator on the pricing page you enter your own figures, and the result is your estimate.
Plainly
Where it stops
- People tick the items; recordme.io does not tick for them.
- You set the items and the safe ranges. recordme.io does not tell you what is safe.
- It records the checks your food safety management system asks for. It does not replace it.
Questions people ask
Questions
Does it work with no signal?
Yes for the records you enter. A check taken offline is saved on the device and sent once the app is open and you are back online, and you are told if one was refused. Nothing is sent in the background, and not every screen works offline.
Does it replace our SFBB pack?
No. It records the checks your pack asks for.
Does every checklist need a manager to sign it off?
No. You choose, checklist by checklist. On one you set to need sign-off, a manager signs the run off and it counts as completed once they have. On any other, a run counts as completed when it is submitted.
